Why Your Dell Printer Says Offline When It's Turned On

"Offline" doesn't mean your printer is broken. It means your computer tried to check in with the printer and didn't get an answer it understood.

That can happen because the printer changed its network address, dozed off in sleep mode, or was never switched back to online in Windows. Sometimes the printer is perfectly fine and the computer is just looking for it in the wrong place.

It's a pattern Dell owners describe over and over in Dell's own community forums: the printer works all week, sits idle over a weekend, and on Monday morning shows offline even though it's still connected to Wi-Fi. Removing and re-adding the printer gets it working again, until the next time. The fixes below deal with the root cause instead of that temporary workaround.

Try These Quick Checks First

These take a couple of minutes and solve a surprising number of offline errors:

• Power cycle the printer. Turn it off, unplug it from the wall, wait 30 seconds, and plug it back in. Let it finish warming up before you print.
• Restart your computer. This refreshes the connection to the printer and restarts the Windows printing service.
• Check the cable. On a USB printer, unplug the cable at both ends and plug it back in. Try a different USB port on the computer, and skip USB hubs if you can.
• Confirm the network. Your computer and your Dell printer have to be on the same network. If your router has a separate guest network, make sure the printer isn't on it.
• Look at the printer's screen or lights. An error like a paper jam, an open cover, or an empty toner cartridge can make the printer stop responding to print jobs.

If the printer still shows offline, move on to the fixes below in order.

Why a Dell Printer Keeps Going Offline

Most offline errors come down to one of these:

• "Use Printer Offline" is turned on. Windows can flip this setting on by itself after a failed print job, and it stays on until you turn it off.
• The printer's IP address changed. Most home and office routers hand out addresses automatically. If your router gives the printer a new address, Windows keeps sending jobs to the old one.
• WSD port problems. When Windows finds a network printer on its own, it often connects through a WSD (Web Services for Devices) port. WSD relies on discovery messages that can fail after the printer or PC wakes from sleep, or after a router reboot.
• SNMP status checks. Windows can use SNMP to ask a network printer if it's ready. If the printer answers slowly or not at all, Windows may mark it offline even though it can still print.
• A stuck Print Spooler. The Windows service that manages print jobs can freeze, and when it does, every printer can look offline.
• Old or mismatched drivers. Dell stopped selling its own branded printers in 2018, so many Dell models haven't had new drivers in years. Some older models have no Windows 11 driver at all.
• Wi-Fi band or signal issues. Many Dell wireless laser printers, including the E310dw, only connect on the 2.4 GHz band. A weak signal or a router change can knock them off the network.
• USB power saving. Windows can cut power to USB ports to save energy, which drops the connection to a USB printer.

How to Fix a Dell Printer Offline Error in Windows 11 and 10

Work through these in order. Test a print after each one so you know which fix did the job.

Fix 1: Turn Off "Use Printer Offline" and Clear the Queue

1. Open Settings > Bluetooth & devices > Printers & scanners (on Windows 10: Settings > Devices > Printers & scanners).
2. Select your Dell printer, then choose Open print queue.
3. Click Printer in the menu bar. If Use Printer Offline or Pause Printing has a check mark next to it, click it to clear the check.
4. Still in the queue window, click Printer > Cancel All Documents and confirm.
5. Back on the printer's settings page, choose Set as default so your apps stop sending jobs to a different printer.

If jobs refuse to cancel, the Print Spooler is probably stuck. That's Fix 2.

Fix 2: Restart the Print Spooler

1. Press Windows + R, type services.msc, and press Enter.
2. Scroll down to Print Spooler.
3. Right-click it and choose Restart. If it's stopped, choose Start.
4. Double-click Print Spooler and make sure Startup type is set to Automatic.

Jobs still stuck? Stop the Print Spooler, open C:\Windows\System32\spool\PRINTERS, delete everything inside that folder (not the folder itself), and then start the spooler again. This wipes out corrupted jobs that can hold the whole queue hostage.

Fix 3: Make Sure Windows Is Using the Right IP Address

This is the fix for a Dell wireless or network printer that worked yesterday and says offline today.

1. Find the printer's current IP address. Print a network report from the printer's control panel. Depending on your model, it's usually called Network Configuration, NetSetting, or System Settings report. On some models, the address also shows on the printer's screen under the network or Wi-Fi menu.
2. Test the connection. Press Windows + R, type cmd, and press Enter. Type ping followed by the printer's IP address (for example, ping 192.168.1.25) and press Enter. If you get replies, the printer is on the network and the problem is on the Windows side.
3. Compare it with the port. Go to Settings > Bluetooth & devices > Printers & scanners, select your printer, and open Printer properties. On the Ports tab, find the port with a check mark and click Configure Port.
4. If the address there doesn't match the report, the printer has moved. Update the address, or use Fix 4 to set up a fresh port.

Fix 4: Switch From a WSD Port to a Standard TCP/IP Port

If the checked port on the Ports tab starts with "WSD," this fix often stops the offline problem from coming back.

1. In Printer properties, open the Ports tab and click Add Port.
2. Choose Standard TCP/IP Port and click New Port.
3. Enter the printer's IP address from your network report and click Next.
4. If Windows asks for more details, choose Custom > Settings, set the protocol to Raw and the port number to 9100, then finish the wizard.
5. Back on the Ports tab, make sure the new port is checked, then click Apply.

A TCP/IP port talks straight to the printer's address instead of searching for it, so sleep mode and router restarts are much less likely to break the connection.

Fix 5: Turn Off SNMP Status

If the printer prints fine when you send a job but Windows still labels it offline, SNMP is a likely culprit.

1. Open Printer properties and go to the Ports tab.
2. Select the checked port and click Configure Port.
3. Clear the box for SNMP Status Enabled and click OK, then Apply.

The trade-off: Windows may stop showing toner levels and detailed status for that printer. Printing itself isn't affected.

Fix 6: Stop the IP Address From Changing

Fixes 3 and 4 only last as long as the printer keeps its address. To lock it in, you have two options:

• Reserve the address on your router (recommended). Log in to your router's admin page and look for a setting called DHCP reservation or address reservation. Link the printer's MAC address (it's on the network report) to its current IP address. This is the approach Dell's own support articles suggest.
• Set a static IP on the printer. Type the printer's IP address into a web browser to open its Embedded Web Server, then find the TCP/IP or network settings and switch from DHCP to manual. Pick an address outside your router's automatic range so two devices never end up sharing it.

If you're not comfortable changing router settings, the reservation is still the safer choice. A static address that collides with another device can knock both of them offline.

Fix 7: Stop Windows From Powering Down the USB Port

For a Dell printer connected by USB cable:

1. Right-click Start and choose Device Manager.
2. Expand Universal Serial Bus controllers.
3. Double-click USB Root Hub and open the Power Management tab.
4. Clear the box for Allow the computer to turn off this device to save power and click OK.
5. Repeat for each USB Root Hub listed, then restart your computer.

Fix 8: Reinstall the Dell Printer Driver

A damaged or wrong driver can keep the printer offline no matter what else you try.

1. In Printers & scanners, select your Dell printer and choose Remove.
2. Go to Dell's support site, enter your printer's model or Service Tag, and download the driver listed for your version of Windows.
3. Install it and follow the setup steps. For a network printer, point it to the IP address from your network report.

No Windows 11 driver for your model? Dell's compatibility charts show some older printers, such as the Dell 1100 and several inkjet models, aren't supported on Windows 10 or 11. Many newer Dell laser printers install automatically through Windows when connected by USB. Fix 9: Run the Windows Printer Troubleshooter

Microsoft has moved its printer troubleshooter into the Get Help app.

1. Go to Settings > System > Troubleshoot > Other troubleshooters.
2. Click Run next to Printer. Windows opens Get Help and checks for common problems.

It won't fix IP or port issues on its own, but it's good at catching spooler and queue problems you might have missed.

Dell Printer Offline on a Mac

Macs run into the same basic problems: a sleeping printer, a changed IP address, or a stale printer entry. Try these steps:

1. Power cycle the printer and make sure your Mac is on the same Wi-Fi network.
2. Remove and re-add the printer. Go to Apple menu > System Settings > Printers & Scanners. Select your Dell printer, click the minus button (or right-click and choose Remove Printer), then click Add Printer, Scanner, or Fax and add it again.
3. Add it by IP address. If the printer doesn't appear automatically, click the IP tab in the Add Printer window and type the address from your network report. Using the IP address keeps your Mac from losing the printer when discovery fails.
4. Reset the printing system as a last step. In Printers & Scanners, Control-click the printer list and choose Reset Printing System. This removes every printer and clears all queues, so you'll need to add your printers again afterward.

When the Problem Is the Printer Itself

If your Dell printer won't show up on the network report, won't hold a Wi-Fi connection even when it's close to the router, or drops offline on every computer in the house, the issue may be with the printer rather than Windows or macOS.

A bit of background helps here. Dell stopped selling Dell-branded printers in 2018 and moved to selling printers from partner brands instead. Dell said warranties on its printers would wrap up by the end of 2021, so almost every Dell printer still in use today is out of warranty. The good news is that Dell still hosts drivers, manuals, and firmware for many models on its support site.

Before you give up on it:

• Update the firmware if Dell lists an update for your model.
• Reset the network settings from the printer's menu and set up Wi-Fi again from scratch.
• Try a USB cable for a day. If the printer never goes offline over USB, the problem is on the network side, not with the printer itself.

If the printer is still unreliable after all that, and your model has no support for your current operating system, putting that money toward a replacement is often the smarter move than chasing the same error every week.
