XEROX Printer Offline


An offline error on the Xerox printer means that the printer is no longer connected to the WiFi. This error can occur when the WiFi network is weak or the printer is not turned on. Incorrect printer settings can also cause an offline error for the printer. You will see this error directly on your printer screen as “Printer offline.” Plus, your printer will not print any document you send. These are the signs of an offline printer. But by correcting printer settings and the connections, you can easily fix this error. 

Basic Fixes

Fix 1: Check the Cable Connection

Whenever you get an offline printer error, you should start by checking the cables. 

 

  1. Check if your Xerox printer and computer are well connected to the USB cable. 
  2. Ensure that both of your devices are turned on. 
  3. If you see that the USB cable is broken or damaged, change it. 
  4. If you observe that the USB cable is loose in the port, try changing the port. 

Fix 2: Restart Your Xerox Printer and Computer

By simply restarting your devices, you can easily fix the printer offline error. Let’s check the steps below to restart your devices. 

Printer: 

  1. First, turn off the printer by pressing its power button on the front. 
  2. Then, disconnect its power cable from the power socket on the wall. 
  3. Wait for 1-2 minutes and reconnect the printer’s power cable to the power socket on the wall. 
  4. After that, press and hold the power button again to turn on the printer. 

Computer:

  1. Click the Windows icon located at the bottom left of the screen. 
  2. Then, click the power button, and select the Restart button. 

Let your computer restart completely. Check if your Xerox printer still shows the printer offline error on the display. If yes, move on to the advanced methods. 

Advanced Fixes

If the basic solutions are not sufficient for your Xerox printer, move on to the advanced solutions. 

Fix 1: Disable the “Use Printer Offline” Option

If the “Use Printer Offline” feature on the computer is ON, it will make your printer go offline. Hence, you must confirm if this option is enabled on your computer. If yes, disable it. Check how to do it: 

 

  1. Click the Windows icon on the computer’s taskbar. 
  2. Then, search for the Printers and Scanners option. Select it from the results and open it. 
  3. Now, select your Xerox printer from the list of available devices. 
  4. Click the Open Print Queue option and then click the Printers option. 
  5. Next, check if the “Use Printer Offline” option is selected or not. 
  6. If it is selected, deselect it. 

Now, check if your printer is still showing an offline status. Check out another method to fix this error. 

Fix 2: Temporarily Disable Antivirus and Firewall

Sometimes, the functions running in the computer’s background, like the firewall and antivirus, can make your Xerox printer go offline. 

Step 1: Turn Off the Firewall 

  1. Click the Windows icon on your computer at the bottom left. 
  2. Then, search for the Windows Security option. Select it from the results and open it. 
  3. Now, click the firewall and network protection option from the left sidebar. 
  4. Click the Private Network option on the right-hand side of the screen. 
  5. After that, toggle off the Microsoft Defender Firewall option. 

Step 2: Turn Off Antivirus

  1. Again, search for Windows Security from the computer’s taskbar and open it. 
  2. Click the Virus and Threat Protection option from the left sidebar. 
  3. Now, click the Manage Settings option on the right-hand side of the screen. 
  4. Turn off the Real-time protection option. 

That’s how you can stop the functions running in the background and protect your printer from offline errors.
